RENTAL POLICIES
The following list of guidelines is provided to help assure quality service to make your special event a success. If you have any questions please contact us.
1. Reservations. Made on a first come, first served basis. A 50% deposit is required to reserve all tenting or our restroom trailer. The deposit is refundable until 2 weeks prior to the set-up date. After this time, the deposit would be non-refundable in the event of a cancellation. Final count is due 2 weeks prior to the delivery date. All efforts will be made to accommodate any changes after this time but cannot be guaranteed.. A review of the tent site is recommended so that a safe and secure installation can be accomplished.
2. Site preparation. Be sure that the grass has been mowed, vehicles are not parked on the tent site, etc. Keep in mind that the dance floor will follow the contour of the ground. Any filling of holes, rock removal, or other leveling should be done in advance of the installation. Hunt Country Rental Ltd.will contact Miss Utility to locate underground utilities. Please provide Hunt Country Rental with a location description (backyard, side yard, etc) 1 week in advance of the set up date. Miss Utility will not locate private utilities, such as well lines or sprinkler lines. The customer is responsible for contacting a private utility locator to do this and is responsible for all damages if this is not done.
3. Permits. All tents that are 900 square feet in size (30x30) and larger, and in some localities even smaller, may be required to have a permit. It is the customers responsibility to obtain this permit. Different localities enforce the code differently, so please find out if you need fire extinguishers, Exit and/or No Smoking signs, floor plan diagrams, etc. Hunt Country Rental has these items available for rental. Flame Resistance Certification documents are available at no charge.
4. Delivery. Quoted delivery charges are for ground level or loading dock. Stairs, elevators, and carrying items other than curbside may require and additional labor charge. Tables and chairs will be stacked on delivery and should be stacked in the same manner in the same area prior to pick-up. Set-up of tables and chairs is available but must be arranged for in advance.
5. Final Payment. Payment is due in full when the rental items are delivered. Any accumulated deposits will be subtracted at this time. Payment by approved check or cash, Visa or MasterCard.
6. Weather. Tents are temporary structures. In the event of extreme lightning or windy weather, or if there is any question of the safety of all occupants, evacuation is recommended.
7. During and after your event. Please do not grill under tent, or place “Tiki” torches near tent. Please do not staple or tape anything to the fabric of the tent or sidewalls. All decorations, tape, string, wire, staples, etc. should be removed from all tables and chairs. Tables and chairs should be re-stacked in same place as when delivered. Linens that are returned with tears, holes, burns, or permanent stains will be billed at replacement cost. Any other missing or damaged equipment will be billed to customer at replacement cost. Please do not use chairs as a step stool. Not only is this practice not safe it will usually result in a permanent stain to the chair. If a ladder is needed for hanging decorations please let us know in advance and we can provide for you.
